When screen recording makes sense

Screen recording is most valuable for: quality assurance in customer-facing roles, onboarding and training (reviewing recordings of how work is done to improve processes), compliance and audit requirements, and resolving disputes about work quality or completion. It is not a good default monitoring tool for most knowledge workers — the volume of data is too high and the privacy cost too significant for everyday use.

Legal requirements

Screen recording is subject to stricter legal requirements than screenshot monitoring in many jurisdictions. In the EU, explicit GDPR consent is typically required. In the US, requirements vary by state but disclosure is generally required. Always consult legal counsel before deploying screen recording in your organization. Deskify's recording module requires organizational disclosure to employees before activation.

Technical considerations

Screen recordings generate large files. Deskify stores recordings in Cloudflare R2 object storage with configurable retention periods (default: 90 days). Recordings are only available to admins with recording access. Employees can see that recording is active but cannot access other employees' recordings. Storage costs scale with usage — factor this into your planning.

The privacy-respecting configuration

The most privacy-respecting screen recording configuration: opt-in rather than opt-out (employees consent to recording for specific sessions or roles), short retention periods (30 days is usually sufficient), strict access controls (limit who can view recordings), and clear notification to employees when recording is active.
